Position Summary
Foundry Church is seeking a highly organized, relational, and proactive Event Coordinator to oversee and execute campus-wide events and facility reservations across all Foundry Church campuses. This individual will play a key role in creating excellent environments and seamless event experiences that support the mission and ministry of Foundry Church: To know, follow, and share Jesus.
The ideal candidate thrives in a fast-paced ministry environment, communicates well with staff, volunteers, and outside vendors, and possesses strong administrative and logistical skills. This role requires a servant-hearted leader who can manage details, solve problems quickly, and ensure all events reflect the culture, mission, and excellence of Foundry Church.Primary Responsibilities
Event Coordination & Execution
· Coordinate and oversee church-wide and campus-wide events across multiple campuses.
· Manage event timelines, logistics, setup needs, communication, and execution details.
· Collaborate with ministry leaders and departments to ensure successful planning and implementation of events.
· Conduct event planning meetings and maintain detailed event documentation and event specific budget management, as well as departmental annual budget management.
· Ensure all events align with Foundry Church branding, culture, and mission.
· Oversee event-day logistics including vendor coordination, room setup, signage, hospitality, and volunteer support.
· Troubleshoot issues quickly and professionally during events.
Facility Reservations & Scheduling
· Manage facility reservation requests for ministries, staff, and approved outside groups.
· Negotiate facility reservation contracts according to annual posted rates for the requested spaces and collect and refund deposits as necessary. Maintain these historic records and manage any ongoing agreements with outside groups.
· Maintain and oversee campus calendars and room scheduling systems through eSpace.
· Ensure spaces are properly reserved, communicated, and prepared for all scheduled activities.
· Coordinate with operations, production, facilities, custodial, and security teams regarding event and room needs.
· Monitor scheduling conflicts and proactively communicate solutions.
Communication & Administrative Support
· Serve as the primary point of contact for event-related communication.
· Communicate event expectations and logistics clearly with staff, volunteers, vendors, and guests.
· Maintain organized records, contracts, timelines, and event documentation.
· Assist in creating event guides, planning documents, and operational workflows.
· Help develop systems and processes that improve event execution and campus coordination.
Volunteer & Team Collaboration
· Recruit, organize, and support volunteers for campus-wide events as needed.
· Build strong relationships with campus staff and ministry leaders.
· Work collaboratively with worship, production, facilities, communications, and ministry teams.
Qualifications
· Bachelor’s degree preferred.
· Strong organizational and project management skills.
· Excellent written and verbal communication abilities.
· Ability to manage multiple projects and deadlines simultaneously.
· Strong attention to detail and follow-through.
· Ability to work flexible hours, including evenings and weekends as required for church events.
· Experience in event planning, operations, hospitality, or church administration preferred.
· Proficiency in Planning Center, Basecamp, and event scheduling systems preferred.
· Ability to thrive in a team-oriented, fast-paced ministry environment.
